Internal Partner Resources
The Conference Services and Events Office will offer guidance to the coordination of a campus department event or meeting. We welcome you to contact our office to talk through your plans, however, you will be responsible for contacting appropriate departments for your needs. In order for this coordination to happen in a timely and efficient manner for all departments, we have developed a standard timeline to be used when planning your event. This guide reflects deadlines that service providers have requested, so they can deliver a quality product to you and your event in an appropriate time frame. When these deadlines are not honored, workloads and other institutional priorities can become adversely affected.
Space – 4 weeks
25Live is Albion College’s official system for scheduling campus spaces, reserving college vehicles, and adding events to the campus calendar. Accessible to faculty, staff, and students with their Albion login, it provides a centralized way to check availability, view room features, and submit event requests for on-campus, off-campus, or virtual activities.
- Submit space requests early—at least 1 month in advance for standard events and 3–4 months for larger events.
- Arrange additional services separately, including setup/cleanup, catering, campus services, and audio-visual support.
Facilities Operations
Campus services are available Monday through Friday from 7:30a.m.-3:30p.m. They provide many behind the scene details, including table/chair delivery, podium delivery, stage set-up, and more. Campus Services MUST be contacted no later than two weeks prior to your event to request set-ups and delivery.

Audio-Visual Equipment
You may request support for your audio visual needs for special events taking place in classrooms and other campus spaces by completing a work order for AV needs. To ensure we can accommodate as many audio visual requests as possible, we require at least four weeks advance notice when requesting event support.

Catering
As the exclusive caterer to Albion College, Metz Dining is proud to serve our students, faculty, and staff with made-from-scratch meals that accommodate all dietary needs and restrictions. Our catering guide is designed to simplify your event planning and introduce our fresh, contemporary menu and service options—use it as a starting point for conversation, as we are always happy to customize. To receive the catering guide, please contact [email protected]. All catering should be finalized two weeks prior to your event, with a confirmation of attendees provided 48 hours in advance.

Marketing
The Office of Marketing and Communications offers expertise in advertising, brand identity, content strategy, custom promotional orders, design, editorial, internal and external communications, marketing, media relations, photography, printing, research, usability, videography, social media, and the web.
Professional staff work with units throughout the college to ensure strategic campus priorities are executed with the highest integrity.

Conference Services & Events
Whether you’re hosting a small meeting or a large campus event, our team can guide you through the planning process. We can also provide supplemental items such as decorations, event signage, and corn hole boards when needed. To ensure we can accommodate your request, please allow at least four weeks’ notice for any event items or support services.
