Introduction and General Navigation Training

Albion College selected the BANNER product for two reasons. First, to upgrade systems such as finance and registration that were outdated. Second, to increase our ability to share records and information across the various offices on campus.

Increased sharing of data brings additional responbililities. Users of the BANNER product need to be aware of the implications of using an integrated datebase. Many campus users share many of the BANNER tables. For example, ID search forms will search for all persons on the system. Therefore, a person in admissions searching for a new student will also see the names of all faculty, staff, and alumni on their search screen. The responsibility for using data increases with BANNER.

Likewise, the need to use care in entering data increases with BANNER. Information entered in one office may be used by several other offices. The advantage of BANNER is that everyone should have access to more of the information they need, when they need it.

SECURITY

BANNER security is form-level security. This means that if access is granted to maintain (change) a field on a form, then access has been granted to change all fields on the form. Therefore, considerable care must be used with data entry to prevent errors. In cases where an individual only needs query access to information, form security will be at the query, not the maintenance level.

LOGGING IN

To log into BANNER on campus, start your web browser, and enter "banforms" (without the quotes) in the address bar, and then press Enter. The logon dialog window will appear asking for your BANNER username, password, and database.

Enter your username and password. The database is always brit3. This window is not case-sensitive. Press Enter or click Connect, and the main menu window will then appear. (If you try an incorrect password too many times, your account will be locked, and you will need to contact the Help Desk for assistance.)

MAIN MENU

When you have successfully logged into Banner, you will be presented with the Main Menu interface shown at the top of this document. The Banner program consists of a series of forms arranged into menus listed under each module name. You can also create your own menu of often-used forms under "My Banner".

Double-clicking on a menu item will expand the item and display sub-menus and then forms. Double-clicking on a form name will open the form itself.

  • On the right-hand side of the Banner home page are several additional controls:
  • Products drop-down arrow to select an individual module.
  • Menu link - returns the screen to the main menu page.
  • Site Map line - displays a text version of the menus available under each main menu.
  • Help Center - opens Banner help for all modules in a new window.

Under My Links are several built-in links to useful functions:

  • Change Banner Password - opens the window for that function.
  • Check Banner Message - displays messages from within the Banner system, used mostly for the requisition process.
  • Admin.albion.edu - opens a new browser window and navigates to that site.

The additional Personal Links will open the General User Preferences Maintenance form, GUAUPRF. To add a link, click on the My Links tab. Enter the description you want to appear on the main page in the appropriate User Value box for the next link, and enter the full URL, like http://www.albion.edu, in the User Value box for the personal link URL. Save by clicking the save icon in the upper left, and exit using the X on the right. The new link will appear when you next start Banner.

The GUAUPRF form can also be used to personalize other elements of Banner, including display formatting, colors, directories, and preferred start-up menu. Check with the Help Desk for assistance with these features.

MENU BAR

 The menu bar allows you to access various Banner functions via drop-down menus. Click a menu bar item to reveal the menu options, and click an option to select it. You can also access a menu using the keyboard shortcuts by pressing the Alt key plus the underlined letter on the menu item. You can then use the arrow keys on the keyboard to select the desired menu item, and press Enter to select it.

The title bar appears at the top of each window with the name of the window or form, the version number of that form, and the name of the database in parentheses.

The toolbar allows for icon-driven access to various features and functions, including Save, Rollback, Select, etc. Hovering the mouse pointer over the icon will display the function of that icon.

AUTO-HINT

At the bottom of the Banner window, you will always find a context-sensitive Auto-Hint line. This line will present information about the currently open form, block, or function. Look here for hints on how to complete a form, or execute a query or other operation. If a screen does not seem to respond to your commands, check here for an error message or instructions on how to proceed.

Just below the Auto-Hint is the status line. This contains information about the record you are currently in, or the current operation.

FORM COMPONENTS

Window Area - The entire framed presentation of the form. More than one window can be open at once.

Pane (of a window) - An area of a form that has more columns than can appear in the window at one time. A horizontal scroll bar appears underneath a window pane to access the additional columns.

Key Information - The top block on many forms, containing key information, such as a person's ID and name. This information is the basis for data displayed on the rest of the form, such as address, telephone, biographical, e-mail, etc. On forms that have more than one window, subsequent windows are displayed beneath the key block, which remains static.

When the cursor is in the key block, only the enterable fields are enabled. Moving the cursor to the next block, using Ctrl-PageDown for instance, disables all fields in the key block, and enables those in the subsequent block.

LIST OF VALUES

Some fields have a limited set of acceptable values that may be entered in them. These fields appear with a down arrow next to them, indicating that a list of acceptable values will appear when you click the arrow, or press F9 when the cursor is in that field. The List of Values window displays all the valid values for that field. Double-clicking on a value in the list will enter that value on the form.

EXITING BANNER

Click on the X at the right end of the tool bar, the X at the top right of the Banner window, or press Ctrl-Q to exit a Banner form or process, or from the main menu, to exit your Banner session.

ROLLBACK

To "rollback" is to return the cursor to the key block of the form without saving any changes that had been made. Use the Rollback icon on the toolbar.

ALBION COLLEGE IDENTIFIERS

IDENTIFICATION NUMBERS (IDs)

All persons and non-persons (vendor businesses, banks, corporations, etc.) will have an identifying number in Banner. This identifier is a system-generated number, not an individual's social security number.

In the student module, prospective students who are accepted will receive a Banner-generated ID, beginning with @. When a general deposit is credited to the student's account, an Albion College student number will be generated. Student numbers begin with the student's year of entry, like 002009xxx.

IDs in Banner are nine characters in length. A Banner generated ID will have an @ as the first character, for example, @00011798. Student number ID's will have two or four leading zeros as in 000097999, or 002000999 - four leading zeros if before the year 2000, and two leading zeros if 2000 or later.

TERM IDENTIFIERS

Banner utilizes the following system for identifying academic terms. Fall term is the calendar year followed by 30, spring term is the calendar year followed by 10, summer term is the calendar year followed by 20.

PERSON SEARCHES

Banner provides the ability to search for a name or ID directly from the key block, as an alternative to using the search form using the down-arrow list of values. To do this, be sure the ID field is empty, then you can press Tab to enter the name field, and enter your search criteria, last name first. The % sign is used as a wild card. For example, to search for John Smith, you could enter "smith, john", without the quotes, not case sensitive. Or you could enter "sm%, j%", and you would get a list of all those whose last names begin with sm, and whose first names begin with j.

If a search returns more than one name, the ID and Name Extended Search window will appear. The number next to the search results represents the number of hits for that particular search.

To view the results, click on the Search Results drop-down arrow. Names will be displayed along with IDs. Names indented under another name are earlier names for that person, like a maiden name.

You can further define your search if you know any of the additional information shown in the Reduce Search By box. Enter the information and press Enter Query or F8 to query the refined results.

You can switch to the SOAIDEN Person Search Form or the SOACOMP Non-Person Search Form by clicking the icons below the results in the search window.

HOW TO FIND HELP

The first level of help should be your co-workers in your department. They will likely be most familiar with the tasks you are working on in Banner, and can assist you from their experience with the program.

Banner program built-in help can be accessed in these ways:

  • Banner help for all forms is found by clicking on the help button (a question mark icon to the left of the X exit button on the Tool Bar. This will open another browser window with information on the form and the fields that are part of it. Clicking Help in the Menu Bar and then Online Help will open this window as well.
  • For information on an individual form, block, or field, click on Help in the Menu Bar, then Dynamic Help Query. A window will pop up showing the form, block, and field names. Click on the radio button next to Form, Block or Field, and click on the radio button next to Banner, then click Display. A new window will display the help information.
Contact the Help Desk if you need assistance starting or logging into Banner, or for other issues you cannot resolve with the above means.
