 At the end of a pay period and periodically throughout a pay period the primary supervisor should verify that the hours being submitted by the student correspond with actual hours worked.

   1. Select the student employee you wish to verify.

   2. Select the pay period you wish to verify. 
            -Only pay periods with unapproved hours will appear.

   3. The specified time sheet will appear (see timesheet example).

   4. Verify the hours reported against work shift schedules (or whatever internal documents your department uses to insure all shifts are worked).

  • Note any comments that your employee has listed in the comment section (these comments are used to explain why they have overridden the computer generated Punch In or Punch Out).
  • Note any variances in the IP addresses used at Punch In or Punch Out.  The IP address is the address where the Punch In or Punch Out was recorded.  If your department has only one or two computers that student employees are allowed to use as Punch In and Punch Out sites this check should be easy.  If you notice odd IP's please contact the SEO for help in tracking this IP address. 

     If the pay period is current and there are changes to make:

  •  notify the student and have them correct their timesheets using the edit function within the Online Time Clock System. 

    If the pay period  has ended and you are doing a final review:

  • Correct any errors by clicking on the edit button. 
  • If an entire shift is missing, click on the add button. 
  • If a shift was recorded that was not actually worked, click on the delete button.
  • You must inform your student employee if you make any changes to his/her timesheet.
  • If a student has not verified a shift but your records show that they did work, you may still approve that shift and sent to Student Employment.

Please Note: 

  • Time In and Time Out are the date and time captured by the computer.
  • Recorded Time In and Recorded Time Out are the date and time the student entered to override the captured time.
  • Adjusted Time In and Adjusted Time Out are the date and time the supervisor enters to correct a student override or captured time entry.
  • The comments field is provided to explain Recorded and Adjusted entries as well as other notes to document a punch in or punch out.
  • Hours reflects the the total hours worked (Adjusted will override Recorded or Captured, Recorded will override Captured)
  • Student Verified indicates that student reviewed his or her hours and considers them accurate.
  • IP Addr indicates where the punch in or out occurred based on VLAN.

  • If a shift worked is over 4 hours it will display in red for easier verification.
     

5. Save a copy of the timesheet for your records.  It is suggested that this be completed right before you approve the timesheet and notify SEO.

6. Approve the above timesheet is correct.
Approve the above timesheet, then click below.

7. After approving all timesheets for your current session click below to Notify SEO.
After you have approved all timesheets for this session, click below.
