Frequently Asked Questions for Faculty

WHERE DO I BRING MATERIALS TO BE PLACED ON RESERVE?

Ideally, all materials (including audio/visual) to be placed on reserve should be brought to the Circulation Office during regular business hours, 8 - 12, 1 - 5.

Materials brought to the library nights and weekends should be left at the Circulation Desk.

ARE THERE ANY SPECIAL FORMS TO COMPLETE?

Due to the quantity of materials placed on reserve, it is essential that you complete a reserve materials form. These forms are available at the Circulation Desk or online. (Word 2007 document).

 It is important that your lists be submitted on forms provided by the library, that they be filled out completely and include any special instructions. WE DO NOT ACCEPT REQUESTS ON SMALL SCRAPS OF PAPER, VIA THE TELEPHONE, OR VERBALLY THROUGH A DESK WORKER. This is so that if any questions arise later, we can refer to the form for verification. If you need additional forms, please notify the Circulation Services Coordinator at ext. 0383 or email circulation@albion.edu.

WHAT TYPES OF MATERIALS MAY BE PLACED ON RESERVE?

Most library-owned materials may be placed on reserve. Due to space limitations, we ask that journals no longer be placed on reserve.

Faculty owned materials may also be placed on reserve. These include books, videocassettes and photocopies of articles. All are subject to copyright restrictions. While the library attempts to secure these materials (through circulation restrictions and tattle taping of books) we cannot guarantee they will not be lost. The library is not budgeted to replace any lost or damaged faculty materials.

Due to space and time limitations, a maximum of five copies per article may be places on reserve. Please keep in mind that normally two copies at most are necessary for a class size of 15 students.

WE CANNOT PLACE OTHER LIBRARIES' MATERIALS ON RESERVE.

COPYRIGHT INFORMATION:

The copyright law of U.S. forbids systematic duplication of copyrighted material. it is the policy of Albion College to comply with copyright law. Therefore, written permission from the publisher or copyright clearance center is required before copies of such material can be placed on reserve.

HOW LONG CAN RESERVE MATERIALS BE CHECKED OUT?

When you bring your reserve materials to the library, please indicate which circulation period you prefer. The library offers the following circulation periods:

2 HOUR CLOSED RESERVE (NO OVERNIGHT):

These materials are not to leave the library. Students may keep the materials for up to two hours. After a 15 minute grace period the system automatically begins to calculate fines at the rate of $1.00 per hour.

2 HOUR RESERVE (OVERNIGHT WITHIN 2 HOURS OF CLOSING):

These materials may be taken out of the library if done within two hours of closing, but must be returned by 9am the following morning. At other times, they may be used for two hours in the library. Overdue fines are assessed at the rate of $1.00 per hour.

THREE DAY LOAN :

These materials may checked out for three days.

(Certain library owned materials which routinely do not circulate, such as reference books, must be placed on 2 HOUR CLOSED RESERVE (NO OVERNIGHT) status.)

HOW LONG WILL IT TAKE FOR THESE MATERIALS TO BE READY FOR MY STUDENTS?

It is not always possible to put materials on reserve immediately. We make every effort to have all materials processed within 48 hours after receiving your list/ materials. Lists will be processed in the order that they are received. To avoid confusion and frustration for you and your students, we ask that you not assign reserve readings until two days after they have been given to the library.

WILL THE LIBRARY MAKE COPIES OF ARTICLES FOR RESERVE?

The library is not adequately staffed to make copies to be placed on reserve. You will need to make arrangements to have your photocopying done. The library has four copiers. Please check with your departmental secretary for a copy card.

WHERE ARE RESERVE MATERIALS LOCATED?

All materials are kept behind the Circulation Desk.

WHAT IS THE POLICY FOR PLACING MATERIAL ON ELECTRONIC RESERVE?

The policy for electronic reserves is available here. Dependant on copyright costs, the library may not be able to place all requested materials on electronic reserve.

WHERE CAN STUDENTS VIEW VIDEOS?

To view videos on reserve, the students can use the library TV/VCR stations, located on the lower level of the Mudd building. Head phones are available for check-out at the Circulation Desk.

For larger groups, Classroom Mudd 210 can be scheduled for use, offering VHS, DVD and laserdisc players and a capacity of about 15 seats. Contact the Circulation Office at extension 0383 (email: circulation@albion.edu) during regular business hours. The classroom should be reserved well in advance. 

WHEN ARE RESERVE MATERIALS RETURNED TO ME?

All reserve materials are removed from reserve status at the end of the semester. Faculty loaned materials are returned via campus mail.

Because of copyright restrictions, no materials are to be placed on permanent reserve. Faculty must inform the library every semester what items should be placed on reserve.
