Missing Materials

Policy & Procedure

When material is reported missing by a patron or staff member, a hold will be placed on it by the Circulation Services Coordinator (CSC), and the status of the material will be changed to “Missing” in the library online catalog.  If the material is found at a later date, the hold will be cancelled and the status changed back to "Available" by the CSC.

The material will be searched for up to three times before being declared lost, the last search to be performed by the CSC.   If the material is not found and is needed immediately by a patron, it may be requested via Interlibrary Loan or MeLCat.  A request to replace the missing material will be given to the Acquisitions Coordinator by the CSC.  

Out of Print Material:

If the material is out of print or otherwise difficult or impossible to obtain, the Acquisitions Coordinator will notify the CSC so she in turn can notify the patron (if still on hold).  The Acquisitions Coordinator will notify the Cataloging department if the missing out-of-print material can not be obtained.  The Cataloging Coordinator will withdraw the material from the library catalog.

The CSC performs periodic inventories of various collections (e.g. reference, oversize, audio/visual materials) and occasionally items are found to be missing.  These items will be searched for a minimum of three times before being declared “Missing,” and again, the last search will be performed by the CSC.   A list of these missing materials will be turned into the appropriate library liaison once a year.

The library liaison will determine (perhaps in conjunction with the appropriate faculty members) whether the material should be replaced by the library, or withdrawn from the library catalog.  The library liaison will notify the Acquisitions Coordinator of the materials that should be re-ordered, and the Cataloging Coordinator of the materials that should be withdrawn.   If the Acquisitions Coordinator is unable to re-order the materials, the Cataloguing department will be given that information so that the material can be withdrawn from the library’s holdings.
